We respectfully require that all your ingredients, items displayed, items sold, sampled, and advertised, not be, contain, reference the use of, tested on animals. This includes but is not limited to the following items and or ingredients, flesh, dairy, eggs, honey, beeswax, gelatin, coral, silk, skin products (such as cow/leather, snake, alligator, wool, feathers, fur, etc.). Man-made substitutions are welcome. If you have any products or ingredients you are unsure of please send an email with your inquiry to info@VegFestColorado.org, Subject: Product Ingredients

HOW TO APPLY
To apply as an exhibitor at VegFest Colorado 2019, complete and submit an application for the category you choose. An email will be sent to the address in your submitted application concerning your participation status.  

PROCESSING FEE
There is a $35 non-refundable processing fee included in the booth space fee. If your application is denied, you will get a full refund, including the $35.

DEADLINE
There is no official deadline to apply for a booth space. Spaces are filled on a first come, first serve basis, until the event space is full.

EVENT CANCELLATION
VegFest Colorado will go on unless the weather turns "Life Threatening". 

EXHIBITOR CANCELLATION
Exhibitor cancellations must be emailed to info@VegFestColorado.org no later than May 31, 2019. The processing fee of $35 is nonrefundable unless your application is denied, in which case you will be refunded fully to include the $35. Refunds will be mailed to the person and address in the submitted application, or credited back to your credit / debit card (allow up to 10 days for refunds). If notice of cancellation is given AFTER May 31, 2019, NO REFUND will be given.

VFC does not offer Booth Sharing

NON-PROFIT ORGANIZATIONS

  • In addition to your application you will be required to provide a copy of your 501(c)(3) letter, mission statement, and a description of how your organization plans to participate in VegFest Colorado. (examples: literature distribution, recruiting volunteers, fundraising, petitioning, etc.) Attach copies of your organization’s literature in the application.
  • If you plan to fundraise, please provide details. All items must be approved by VFC.  The application will ask for your 501(c)(3) letter, mission statement, and a description of what your group plans to do at VegFest Colorado. (examples: recruiting volunteers, fundraising, distributing info, etc.) If you plan on doing fundraising, please detail what this is for to include any products you plan on selling. All items must be approved by VFC.


REQUESTING A SPECIFIC BOOTH LOCATION
All available options for booth locations will be available in the Exhibitor Application. While VFC will try to accommodate location requests, we cannot guarantee that all requests will be met. These options are very limited, and are on a first come, first serve basis. If an option is selected and paid for, but the option is filled, exhibitor will be notified, and a full refund for that option will be issued. 

SITE MAPS and BOOTH LOCATIONS
Site maps and booth locations will be posted on VegFestColorado.org by mid July 2019. 

MULTI-LEVEL MARKETING COMPANIES / EXCLUSIVE EXHIBITORS
"Exclusive” exhibitor rights during the event is an option ONLY with a paid Silver or Gold Sponsorship, and ONLY if another exhibitor from the same MLM company has not secured a booth space.
We will, however, DO OUR BEST to notify MLM companies who are requesting booth space at the event of any SAME MLM companies who already secured an exhibitor space. 

ALCOHOLIC BEVERAGES
Sales of alcohol by exhibitors is not allowed.

WATER SALES or GIVEAWAYS
NO PLASTIC WATER BOTTLE SALES or GIVE AWAYS, PLEASE - There are water bottle filling stations available in the 1stBank Center.


ELECTRICITY
Inside and outside electricity is an upgrade option in the Exhibitor Application. Electricity is available in selected areas, and is limited, and on a first come, first serve basis. In the space provided on the application, please give a detailed description of everything you are planning to use during the event that requires electricity. Please note that every exhibitor (inside and outside) is required to bring their own 100’ extension cord, and is responsible for covering all cables and wires in and around the immediate vicinity of the booth. Please note: We will not be able to accommodate late requests for electricity.  

ICE
Ice will be available for sale during the event, while supplies last. 

REFRIGERATION / FREEZER (This option will be VERY limited)
VFC has no access to 1stBank Center refrigerators or freezers. 
If you require refrigerators and/or freezers, you must select that option in the application. Refrigerators and Freezers will need to be rented, delivered, and setup. This option will increase exhibitor fees. Once VFC has a rental company to work with, the prices will be known and posted here.

1stBANK CENTER EVENT ENTRANCE
The only entrance during the VegFestColorado Event will be the North entrance.

EXHIBITOR CHECK IN/SETUP (Carts Available)

  • Check-in / setup will take place on Friday, July 26, 2019, starting at Noon and closing at 7PM. Loading Dock WILL CLOSE at 7PM on Friday and WILL NOT REOPEN UNTIL 4PM on SUNDAY.
  • The Loading Dock is on the South side of the 1stBank Center on Parkland Street, and can accommodate up to and including Semi Trucks / trailers.
  • The West entrance (marked WEST ENTRANCE above the doors) will be for hand trucks, small carts, and carry-in.
  •  All INSIDE exhibitors MUST check-in at either the Loading Dock or West Entrance, depending on size of equipment and/or amount of product.


AFTER CHECK-IN

  •  Unload your vehicle.
  • IMMEDIATELY after unloading your vehicle, you will be required to relocate your vehicle away from the Loading Dock area or West entrance so that other exhibitors can offload.
  • When you return from relocating your vehicle, you will be escorted to your assigned booth location to set up.
  • No wristbands will be required for entry on Friday, but WILL be required for Saturday and Sunday.


SATURDAY MORNING SETUP (West Entrance only)

  • Available ONLY to exhibitors who can set up in 60 minutes or less.
  • Must select the Saturday Setup option in Application
  • Opens at 8:00AM, Closes at 10:00AM
  • Hand trucks, small carts, and carry-in ONLY.
  • IMMEDIATELY after unloading your vehicle, you will be required to relocate your vehicle away from the West entrance so that other exhibitors can offload.
  • THERE WILL BE NO LOADING DOCK ACCESS

             Exhibitors must be open and ready for business by 10AM Saturday & Sunday.

FOOD TRUCKS / TRAILERS

  • SETUP will take place on July 26, 2019, 12PM - 7PM or July 27, 2019 starting at 8AM.
  • You will be greeted in the North Parking Lot, and escorted to your assigned area.
  • Must be open for business by 10AM July 27 & 28, 2019.


DELIVERIES
Forklifts are available if prior arrangements are made. The Loading Dock will accommodate up to and including Semi Trucks / trailers. Smaller trucks that cannot backup and align to the dock will need a liftgate. There is a pallet Jack available to move pallets, once off loaded. Delivery hours are July 26, 2019, 9AM – NOON. Volunteers can sign for shipments but will not be responsible for contents damaged or missing. VFC will not pay any freight / delivery costs. 

EXHIBITOR REENTRY SATURDAY & SUNDAY
Exhibitors are allowed to reenter the building at 8:00AM Saturday & Sunday, July 27 & 28, 2019 through the WEST ENTRANCE. The West entrance will be closed at 10AM Saturday & Sunday. PLEASE BE “OPEN FOR BUSINESS” BY 10AM both event days. EVERYONE entering the 1stBank Center must have a wristband on their wrist, including their volunteers. NO WRISTBAND:::NO ENTRY:::$10 Entrance Fee at the door.

HANGING DISPLAYS/LOGOS, ETC.
Unless pre-arranged, ABSOLUTELY nothing can be affixed to the facility walls, doors or windows.

WIRELESS CONNECTIVITY (inside the event hall)
On-site wireless is available. The login credentials will be provided when you sign in.
(VFC cannot guarantee how robust the wireless connectivity will be for OUTSIDE exhibitors)

TEAR DOWN
Teardown starts on Sunday at 4PM. Minus sweeping, Exhibitor area should be empty of all packing materials & trash. All cardboard boxes must be broken down, and placed in the cardboard recycle area. Have your assigned area cleared and checked off by a VFC representative to avoid possible cleaning fees. Please vacate the 1stBank Center as soon as possible.

WRISTBANDS ARE MANDATORY FOR EVERYONE WORKING A BOOTH
Each booth space / exhibitor will receive 4 complimentary Wristbands total when signing in. It is the exhibitor’s responsibility to get these wristbands to their co-workers / volunteers. Wristbands are not needed during setup on Friday, but is mandatory for Saturday and Sunday. Anyone working a booth will not be allowed entry unless a wristband is on your wrist. If more wristbands are needed, send an email to info@VegFestColorado.org with your request.

OVERNIGHT SECURITY
The 1stBank Center will be secured / locked down every night at approximately 8PM. However, each exhibitor is responsible for securing assigned booth and valuables. VFC cannot be held responsible for any loss. No one is permitted to stay overnight in their booths at VFC nor will you be allowed to stay overnight in RVs in the 1stBank Center parking lots. 

SALES TAX INFO
Exhibitors are expected to be in compliance with the regulations of their State concerning their product(s) and to have this information available if needed. As business owners, it is your responsibility to collect and submit the appropriate sales taxes to state and federal agencies. PLEASE do not contact us with your tax questions.

EXHIBITORS HANDLING FOOD
Exhibitors Handling Food will need to download and fill out the TEMPORARY/SPECIAL EVENT GUIDELINES form and email the completed form to Broomfield Health and Human Services.

Prepackaged food sales. Juices, Smoothies, Powders, Health Drinks, etc. Product giveaways, product promoting, Membership Drive, Services, etc. “Sampler” is any vendor who wishes to distribute samples of food or non-alcoholic drink, nutritional supplements, or perishable items at their booth.
