IN THE SPIRIT OF VEGFEST COLORADO: 
We respectfully require that all your ingredients, items displayed, items sold and sampled, advertisements, not be, contain, reference the use of, or test on, animals. This includes but is not limited to the following items and or ingredients, flesh, dairy, eggs, honey, beeswax, gelatin, coral, silk, skin products (such as cow/leather, snake, alligator, wool, feathers, fur, etc). Manmade substitutions are welcome. If you have any products or ingredients you are unsure of please send an email with your inquiry to info@VegFestColorado.org, Subject: Product Ingredients

Primarily intended to be prepared, sold, and consumed during the event.


General: $285 (NO OPEN FLAMES) Prepackaged Foods, Specialty Drinks, Sampling, Product giveaways, Product promoting, Signature or Membership Drive, Services for Sale, Home Products, Solar, Roofing, Windows, Siding, Jewelry, Clothing, Shoes, Books, Face & Body Products, Oils, Massage Therapy, Gyms, Personal Training, Mind, Body & Soul.
Non-Profit 501(c)(3): $225 Non-Profit organizations MUST submit a copy of their IRS letter of determination.
 
​PRICES INCLUDE A $25 NON-REFUNDABLE PROCESSING FEE.


BOOTH / SPACE RESERVATION:
NO BOOTH SHARING
Exhibitor application shall not become binding between exhibitor and VFC until:
1. Exhibitor fills out and submits the application
2. Fees have been paid to VFC
3. Application is vetted, and approved by VFC event organizer
4. Notification of acceptance or denial will be  by mail or email within 7 business days of  the application submit date.
    If denied, you will be fully refunded.


LIKE BUSINESSES:
VFC will make some effort NOT to have multiple same product exhibitors participating at this event. VFC reserves the right to limit OR accept the number of exhibitors providing similar type products or services.​ It is the exhibitor's responsibility to inquire about this.

FOOD VENDORS:
Will be required to show proof of current License, and Health Certificate when asked for this information.   

 
CANCELLATION/REFUND POLICY (other than weather):
If exhibitor notifies VFC of their cancellation before Midnight on June 15, 2018, a refund (less $25) will be made. If notice of cancellation is given AFTER June 15, 2018,
NO REFUND will be given.

VEGFEST COLORADO EVENT PROGRAM:
Cutoff date to be listed in the VFC Event Program is Midnight, June 29, 2018.
 
BOOTH / SPACE INFORMATION:
Included in the “Outside” Food Truck / Trailer fee is the pre-arranged required space needed to operate your business. 
If you require Generator Power the receptacle available is a Common North American single-phase AC power connector (120 V, 60 Hz) Generator power will be available 5PM Friday - 6PM Sunday. Please provide your own electrical cord, up to 100 feet.
Included in the “INSIDE” booth fee is one, eight foot, table and two chairs
(total area is at least 32 square feet, 8 feet by 4 feet).
Exhibitor will be assigned the space that is payed for.
Exhibitor to provide their own Canopy if setting up a canopy.
If more space is required, then the additional space needs to be purchased.
NO BOOTH / SPACE OVERFLOW PLEASE!
If you want to setup a backdrop behind your INSIDE booth space, please contact us.
Tables must be covered/skirted.
Advertising Information/Display cannot impede the aisle or interfere with your neighbor, and cannot have offensive pictures, graphics or words as determined by VFC event organizers.
Included in booth fee is a total of 4 admission wristbands for this event.
​Spaces are pre-assigned and will be posted on VegFestColorado.org in July 2018.

Saturday & Sunday, July 28 & 29, 2018, 10AM - 6PM

SETUP/CHECK IN:
All INSIDE exhibitors MUST check-in at the Loading Dock, South side of the 1stBank Center on Parkland Street. SETUP will take place on July 27, 2018, 12PM - 8PM. Please be open for business by 10AM July 28, 2018
This is where you will:
1. Sign in.
2. Sign for your 4 complimentary admission wristbands.
3. Sign for your additional admission wristbands (if applicable).
4. Buy a table Cloth if needed.
5. Your prior paid arrangements for additional options, i.e. upgraded to a larger space, electricity, etc., will be verified.
6. Once checked in, you will be assisted by our “White Glove” team who will help you unload your vehicle, and get your “stuff” to your
    assigned booth location. IMMEDIATELY after unloading your vehicle, you will be required to relocate your vehicle away from the
    Dock area. We suggest the WEST parking lot. Re-entry to setup will be through the same dock area.
   
It is very important that your vehicle is moved out of the Dock area as soon as possible so that other exhibitors can offload.

7.  ABSOLUTELY nothing can be affixed to the facility walls, doors or windows without prior approval.


DELIVERIES:
Delivery hours are July 27, 2018,  9AM - Noon.  Volunteers can sign for shipments but will not be responsible for contents damaged or missing. VFC will not pay any freight/delivery costs.


Exhibitors are allowed to reenter the building at 9 AM Saturday & Sunday, July 28 & 29, 2018 through the WEST Doors.

​NO WRISTBAND:::NO ENTRY

​WIRELESS CONNECTIVITY:

INSIDE wireless network connectivity is available. The login credentials will be provided when you sign in. (VFC cannot guarantee how robust the wireless connectivity will be for OUTSIDE exhibitors)


EVENT CLOSURE EACH DAY:
The 1stBank Center will be vacated no later than 8:30PM on Friday & Saturday.

TEAR DOWN:
Tear down starts on Sunday at 6PM.
Exhibitor responsibility is to remove EVERYTHING that was brought in.
Exhibitor area cleanliness will be as you received it.

WEATHER CONCERNS: 
Should any contingency interrupt or prevent the holding of the event, including weather, VFC shall in no way be liable to the Exhibitor. Fees/payments to VFC cannot be refunded, as they are distributed prior to the event for liability insurance, facility/operating costs, supplies, marketing/promotion, and other event related expenses.

Exhibitors are responsible to be in compliance with the regulations of their State concerning their product(s) and to have this information available if needed. As business owners, it is your responsibility to collect and submit the appropriate sales taxes to state and federal agencies.
