EXHIBITOR BOOTH FEES INSIDE/OUTSIDE: 
(received on or before  June 1, 2017)
Food Exhibitor: $360/$310
Food that is primarily prepared, sold and consumed during the event.
Prepackaged Foods or Specialty Drinks: $250/$200
Selling of prepackaged food. No preparation (cooking) of food unless giving samples. Juices, Smoothies, Powders, Health Drinks, etc.
Non-Food Exhibitor (Sales): $250/$200
Jewelry, Clothing, Shoes, Books, Face & Body Products, Oils, Massage Therapy, Personal Training, Mind, Body & Soul, etc. 
No Sales Exhibitor (No Sales or suggested donations): $200/$150
Sampling Only of Food, and or Drink. Product giveaways, Product promoting, Membership Drive, Services, etc.
Non-Profit 501(c)(3): $170/$120
Non-Profit organizations MUST submit a copy of their IRS letter of determination.
After Midnight June 1, 2017 add $25 to all Fees 
​FEES INCLUDE A $25 NON-REFUNDABLE PROCESSING FEE.


IN THE SPIRIT OF VEGFEST COLORADO: 
We respectfully require that all your ingredients, items displayed, items sold and sampled, advertisements, not be, contain, reference the use of, or test on, animals. This includes but is not limited to the following items and or ingredients, flesh, dairy, eggs, honey, beeswax, gelatin, coral, silk, skin products (such as cow/leather, snake, alligator, wool, feathers, fur, etc). Manmade substitutions are welcome. If you have any products or ingredients you are unsure of please send an email with your inquiry to info@VegFestColorado.org, Subject: Product Ingredients

BOOTH RESERVATION:
EXHIBITOR APPLICATION ALONE DOES NOT RESERVE SPACE.
Exhibitor application shall not become binding between the exhibitor and VFC until
1. Exhibitor fills out and submits the application
2. Application is vetted, accepted, and approved by VFC event organizer
2. Confirmation has been sent to exhibitor by mail, or email
3. Fees have been paid to VFC

LIKE BUSINESSES:
In the attempt for exhibitor success at VFC, some effort NOT to have multiple same product exhibitors participating at this event will be made. VFC reserves the right to limit OR accept the number of exhibitors providing similar type products or services.​

FOOD VENDORS:
Jefferson County Public Health Form 3610 must be filled out and Approved for your "food Service" to operate at 
Events in Jefferson County no later than July 6, 2017. If you are a "Pre-Packaged food" exhibitor, and your product does NOT need to keep hot or cold then you do not need a license.    

CANCELLATION/REFUND POLICY (other than weather):
If exhibitor notifies VFC of their cancellation before Midnight on June 1, 2017, a refund (less $25) will be made. If notice of cancellation is given AFTER Midnight on June 28, 2017, NO REFUND will be given.

VEGFEST COLORADO EVENT PROGRAM:
Cutoff date to be listed in the VFC Event Program is Midnight, May 31, 2017.
 
INSIDE BOOTH INFORMATION:
Included in the “Inside” booth fee is one, eight foot, table and two chairs
(total area is appx 32 square feet, 8 feet by 4 feet).
Exhibitor will be assigned the space that was requested and payed for.
If more space is required then the additional space needs to be purchased.
NO BOOTH OVERFLOW PLEASE!
Advertising Information/Display can be anywhere on or attached to the front of your table. It cannot impede the aisle or interfere with your neighbor, and cannot have offensive pictures, graphics or words as determined by VFC event organizers.
A backdrop behind your booth will not be permitted, unless approved by VegFest Colorado.
Options to purchase booth space in front of a wall for a backdrop is available, until spaces fill up.
Also included is a total of 4 admission wristbands for this event.
​Spaces are pre-assigned and will be posted on VegFestColorado.org the first week of July 2017.
Tables must be covered/skirted on front and sides.

OUTSIDE BOOTH INFORMATION:
Included in the “Outside” booth fee is one 10x10 space or the required space needed for a Food Truck/Trailer.
Exhibitor will be assigned the space that was requested and payed for.
Exhibitor will be assigned the space that is payed for. If more space is required then the additional space needs to be purchased.

NO BOOTH OVERFLOW PLEASE!
Advertising Information/Display can be anywhere in your assigned area. It cannot impede the aisle or interfere with your neighbor, and cannot have offensive pictures, graphics or words as determined by VFC event organizers.
Outside Exhibitors must provide their own tables, chairs, booths, canopies, weights, etc., No Staking.
Personal generators require prior approval and must meet safety and noise guidelines.
Only sturdy, visually pleasing canopies permitted (no plastic tarps).
Also included is a total of 4 admission wristbands for this event.

SETUP/CHECK IN:
All exhibitors MUST check-in at the South Doors (admissions) on July 21, 2017, 2 - 7PM and or July 22, 2017, 7-10AM.
Please be open for business by 10AM July 22, 2017
This is where you will:
1. Sign in.
2. Sign for your 4 complimentary admission wristbands.
3. Sign for your additional admission wristbands (if applicable).
4. Sign for a table Cloth (inside vendor only) (if applicable).
5. If you made prior arrangements and paid for additional options, i.e. upgraded to a 10x10 space, Double Booth, Electricity, etc., those options will be verified.
6. To prevent over loading of electrical circuits, electrical items not documented and approved on your Exhibitor Application will not be allowed to be plugged in.
7. Once you are checked in, you will be shown where your booth location is and you can setup.
8.  ABSOLUTELY nothing can be affixed to the facility walls, doors or windows. The only exception to this is the cork boards already mounted on the walls in the facility.
All deliveries/setup activities should take place July 21, 2017, 2-7PM and July 22, 2017, 7-10 AM.

UNLOADING/SETUP INSIDE BOOTHS
PLEASE DO NOT DRIVE ON THE GRASS OR SIDEWALKS!!!
Exhibitors can unload either at the raised dock on the North facing side of the Exhibit Hall or the front doors located on the South side of the Exhibit Hall. There is parking available at both locations. Please unload as quickly as possible and move your vehicle to the main parking lot so that your fellow exhibitors can unload. VegFest Colorado does NOT provide carts or volunteers to assist you with your setup.  

INSIDE CANOPIES & HEAVY DISPLAYS
If you are setting up a canopy or a heavy display inside the exhibit hall, we ask that you put something between the canopy legs/display and the floor, for example, rug, cardboard, table coaster, etc.

WIRELESS CONNECTIVITY:
On-site wireless network connectivity is available however VFC cannot guarantee how robust this connection is. The login credentials will be shared when you sign in.

AFTER HOURS BOOTH SECURITY:
The Event Hall will be vacated no later than 7:30PM on Friday & Saturday.
The Jefferson County Fairgrounds locks down at 10PM.
Fairgrounds and Event Hall will open at 7:30AM Sunday for exhibitors only, 10AM general public.


TEAR DOWN:
Tear down starts at 5 PM Sunday.
If applicable, please return the table cloth to the main stage.
Remove any tape, stickers, etc. from table and chairs.
Exhibitor responsibility is to remove EVERYTHING that was brought in.
Exhibitor area cleanliness will be as you received it.

WEATHER CONCERNS: 
Should any contingency interrupt or prevent the holding of the event, including weather, VFC shall in no way be liable to the Exhibitor. Fees/payments to VFC cannot be refunded, as they are distributed prior to the event for liability insurance, facility/operating costs, supplies, marketing/promotion, and other event related expenses.

​SALES TAX INFO: 
PLEASE do not contact VegFest Colorado with your tax questions.
Exhibitors are responsible to be in compliance with the regulations of their State concerning their product(s) and to have this information available if needed. As business owners, it is your responsibility to collect and submit the appropriate sales taxes to state and federal agencies. For Colorado tax information, go to colorado.gov/revenue.

All private information you send to VegFest Colorado will not be Shared, Sold, or Given to anyone.
