MOST IMPORTANT
In the spirit of VegFest Colorado, we respectfully require that all your ingredients, items displayed, items sold and sampled, advertisements, not be, contain, reference the use of, or test on, animals. This includes but is not limited to the following items and or ingredients, flesh, dairy, eggs, honey, beeswax, gelatin, coral, silk, skin products (such as cow/leather, snake, alligator, wool, feathers, fur, etc). Manmade substitutions are welcome. If you have any products or ingredients you are unsure of, please send an email with your inquiry to peter@VegFestColorado.org, Subject: Product Ingredients.              

BOOTH LACATION/MAPS
If you requested a booth on your application, the location will be posted on this site no later than July 1, 2017. 
(Check again the day before the event, might be last minute changes)

KITCHEN/PREP AREA
Located at the North side on the Main level, is a full service kitchen with freezers, refrigerators, stove, oven, and Stainless Steel countertops/sinks. You are encouraged to do all prep work in this kitchen. You will be sharing this kitchen with other presenters, and there has never been an issue with not having enough space. Volunteers will be available to assist you, your presentation, and cleanup, if you requested volunteers on your application. PLEASE let us know,
BEFORE the event, what you need, i.e. utensils, pots, pans, mixers, processors, etc., to PREP your food.  


FOOD PRESENTATION ROOM
Is located at the North side on the Garden Level directly below the Kitchen/Prep Area. Access between the two is by stairs.
There will be a PA system. You have a choice between a hand held or lapel wireless microphone. You will have access to tables that can be used for your merchandise (during your demo) in the back of the room. You are welcome to use your own table covering during the demo if you choose. PLEASE let us know,
BEFORE the event, what you need, i.e. utensils, pots, pans, mixers, processors, burners, small plates, sample cups, napkins, etc., to PRESENT your food. Upon completion of your presentation, please inform the audience that you are available to talk, sell and autograph merchandise at your booth, if you requested one on your application, or in the back of the room.
NOTE: Please make it a priority for volunteers to clean and vacate the presentation area to allow the next Cooking Presentation to setup.

REIMBURSEMENT FOR COOKING PRESENTATION INGREDIENTS
VegFest Colorado will reimburse the cost of your “PLANT-BASED” ingredients up to $130.00.
ORIGINAL RECEIPTS listing “ONLY” the plant-based ingredients for your cooking presentation will be needed for you to be reimbursed. Amounts over $130.00 will need to be pre approved BEFORE the event. 
NOTE: It is not a requirement that a sample of your food be available for everyone attending your presentation.

BOOTH INFORMATION if you requested one on your application

PLEASE BE OPEN FOR BUSINESS BY 10AM JULY 22, 2017
A booth is one, eight foot, table and two chairs (total area is appx 32 square feet, 8 feet by 4 feet).
Presenter will be assigned the space that was requested. If more space is needed, then the additional space needs to be purchased.
No booth overflow, please.
Advertising Information/Display can be anywhere on or attached to the front of your table. It cannot impede the aisle or interfere with your neighbor, and cannot have offensive pictures, graphics or words as determined by VFC event organizers.
A backdrop behind your booth will not be permitted, unless pre approved by VegFest Colorado.
Options to purchase booth space in front of a wall for a backdrop is available, until spaces fill up.
Tables must be covered/skirted on front and sides.
If you requested electricity on your original application, it will be provided.
It takes considerable time and planning to supply electricity to the exhibitors who have requested electricity. To prevent electrical circuits from an overload, electrical items not documented in your Application cannot be plugged in.

EVENT LOCATION/DIRECTIONS
Exhibit Hall, Jefferson County Fairgrounds, 15200 West 6th Avenue, Golden, Colorado 80401. After turning into the Fairgrounds, follow the CLEARLY marked signs to the Exhibit Hall. (Basically heading West (right) towards the mountains).

EVENT HOURS
Saturday, July 22, 2017, 10AM to 6PM. Sunday, July 23, 2017 10AM to 5PM

CHECK IN/SETUP
Please check-in at the South Doors (admissions) on July 21, 2017, 2 - 7PM and or July 22, 2017, 7-10AM.
This is where you will:
1. Sign in.
2. Sign for your admission wristband(s).
3. If you made prior arrangements and paid for additional options, i.e. upgraded to a 10x10 space, Double Booth,
    Electricity, etc., those options will be verified.
4. Once you are checked in, you will be shown where your booth location is and you can setup.
5. ABSOLUTELY nothing can be affixed to the facility walls, doors or windows. The only exception to this is the cork
    boards already mounted on the walls in the facility.
6. All deliveries/setup activities should take place July 21, 2017, 2-7PM and July 22, 2017, 7-10 AM.

APPROVED UNLOAD/LOAD AREAS
Either at the raised dock on the North facing side of the Exhibit Hall or the front doors located on the South side of the Exhibit Hall. There is parking available at both locations. Please unload as quickly as possible and move your vehicle to the main parking lot so that your fellow exhibitors can unload.
PLEASE DO NOT DRIVE ON THE GRASS OR SIDEWALKS!!!

INSIDE CANOPIES & HEAVY DISPLAYS
If you are setting up a canopy or a heavy display inside the exhibit hall, we ask that you put something between the canopy legs/display and the floor, for example, rug, cardboard, table coaster, etc.

WIRELESS CONNECTIVITY (inside the event hall)
On-site wireless is available and belongs to the Jefferson County Fairgrounds. VFC cannot guarantee how robust this connectivity is. The SSID/Password for the wireless connection will be provided at sign in.

FACILITY SECURITY
The Event Hall will be vacated no later than 7:30PM on Friday & Saturday.
The Jefferson County Fairgrounds locks down at 10PM.
Fairgrounds and Event Hall will open at 7:30AM Sunday for exhibitors only, 10AM general public.

TEAR DOWN
Teardown starts at 5 PM on Sunday.
Please return any items you might have borrowed from VegFest Colorado.
Remove any tape, stickers, etc. from table and chairs.
Exhibitor responsibility is to remove EVERYTHING that was brought in.
Except for sweeping the floor, Exhibitor area cleanliness will be as you received it.

SALES TAX INFO
PLEASE do not contact VegFest Colorado with your tax questions.
Exhibitors are responsible to be in compliance with the regulations of their State concerning their product(s) and to have this information available if needed. As business owners, it is your responsibility to collect and submit the appropriate sales taxes to state and federal agencies. For Colorado tax information, go to colorado.gov/revenue.​

SPACE NOT OCCUPIED BY THE OPENING OF THE EVENT WILL BE CONSIDERED A NO SHOW, AND DEEMED FORFEITED, AND WILL BE REUSED BY VFC WITHOUT ANY OBLIGATION OR REFUND WHATSOEVER.
